    General EPOS questions

    We started as an online company and have now acquired a shop premises.

    We've been using the online cart system that has worked really well for us and I have written software to interface with our Sage line 50 accounts system.

    I am now a little undecided in how to manage various aspects of the business as we are also a UK distributer for products too, so have to take into account both the distribution and retail. The EPOS software looks to handle this quite nicely.

    I'm not particularly keen on the Sage software so am looking at changing across to quickbooks and with the actinic back end being Access think that it would be easy enough to link sales data into either Sage or Quickbooks.

    Questions are:

    1. How do you guys do it? Do you have your accounts system also managing stock levels for you or do you just have it as an accounts system with EPOS managing your stock.

    2. Has a module linking EPOS to sage/quickbooks been written yet? I noticed that the actinic's Link software works for their other offerings.

    3. Do you have your online sites linked to the EPOS if it is managing your stock, and how do you find that? I am more than happy with zen, and so would like to maintain that, using my experience to create a link to the backend of actinic to update/maintain stock levels...this only needs to be a one way connection as we don't require nor need stock levels on the web side.

    4.What auxillary equipment can you recommend. I noticed many people talking about the piccolink units, but information on them is fairly limited, do they come supplied with a base station or is that a seperate purchase? Are there cheaper units that are compatible available? It would be handy to have a wireless unit for the distribution side of things.

    Any helpful hints and tips would be much appreciated.

    Oh, and a note for the developers, not a great start when the 30 day download won't even install properly, coming up with errors so that you have to reinstall the epson stuff before you've even started! Only managed to solve that by looking on these forums!

    Some more questions also:

    1. Whats the best methodology for doing telephone orders through the EPOS using credit card, does anyone here do that?

    2. What connections for credit card payment i.e chip and pin do you use and how is this setup within the EPOS. Can you recommend a particular make, does the epos save the card details? I use paypal virtual terminal (with web site payaments pro for online cart) at the moment for telephone orders but would like something within the EPOS ideally.

    3. What facililties are there for doing an authorisation only on a credit card as security on, say, stuff for hire and how would you enter that as a product - would you have it set up as a product with a cost value of zero, then take the payment for the hire item as if it were a product that never runs out of stock? then how would you take an authoristaion using the EPOS in case the customer runs off with it and you need to take that payment on the card?

      Hi James,

      Please see my reponse to your questions below:

      1) Actinic EPOS links to Actinic Ecommerce v8. The stock control between the 2 packages is live. So if an order downloads from the website into Actinic Ecommerce the stock for the order is allocated in Actinic EPOS. When the order is then shipped the stock is deducted from stock in EPOS instantly.

      Products can also be transfered between Actinic EPOS and Actinic Eccomerce.

      2) Currently Actinic EPOS does not link to sage/quickbooks, although Actinic Ecommerce links to sage and quickbooks.

      3) As mensioned in 1) stock control between EPOS and eccomerce is live, you can also select to manage the stock control in either EPOS or Ecommerce depending on how you want to operate.

      4) Actinic Sell the Piccolink which is integrated with Actinic EPOS. It is a very good tool for performing a stocktake in EPOS, and other tasks which involve scanning products.

      The hand held device is sold sepearalty, but you can we sell a bundle of Piccolink, Base Station, PSU and cable. Please contact sales for the current prices.

      We also sell a Samsung Q1 which is a great alternative to the Piccolink as it is handheld PC which can have the EPOS software on it with a scanner attached to it. Again, please contact sales for a current price for this device.


      I am sorry to hear you had difficulties installing the EPOS software, I am glad you managed to get the softare working well.

        Hi james,

        Please see the answers to the second section of questions below:

        1) You can take telephone orders through Actinic EPOS with a credit card through the sales screen in EPOS if you have a YESPAY chip and pin terminal which integrates with Actinic EPOS

        2) Actinic EPOS is integrated with YESPAY, which enables you to use a chip & pin pad with your EPOS system. You can perform sales, refunds, purchase with cashback, customer not present and customer not present refunds.

        The requirements for this are :

        -A Verifone Secura PinPad supplied by Actinic
        -A broadband connection on the till.
        -A Merchant account
        -A minimum 3 year service agreement with YESPAY which Actinic can arrange fot you.

        To arrange the YESPAY service agreement and get the current pricing for our Verifone Secura chip & pin pad please contact Actinic sales.

        3) With the chip & pin intergration you can do a "Pre-Auth" which authorises the amount of the sale. This is one of the options avalible on the tender types under "Card".

          Just to update in case of interest to others, YESPAY do not provide pre-auth for retail users, even though there is indeed the option in EPOS, .

                          Might this be an option available in a future release?
                          Currently Actinic EPOS does not link to Sage, in the future it may do but currently we cannot suggest any kind of time scale for this sorry.

                            I believe we discussed this on the phone earlier. The minus (-) quantity allocated you are seeing with your E-commerce to EPOS link is an intermitant bug which I believe is caused by having "Manage stock levels in EPOS" enabled and using EPOS link over a network.

                            I posted the further information you gave me today to our development team to help them investigate and fix this bug. As soon as I have an update on this I will keep you updated.
