    Outlook / email question

I have one email acount and its a catchall (I think thats what they call them - all emails that end in @email.co.uk come through to one inbox). Is it possible to change some settings either with our hosts, or in outlook itself so that we can have say, shop@email going to the shop, and office@email going to the office (but in the same building).

Perhaps if outlook can't do it, maybe thunderbird or somesuch might?

The reason we need to do this is because at present, any customer emails that are either replies from messages sent within actinic, or through the contact form come through to the office pc - whereas we need them on the shopfloor pc as that is where orders are downloaded, and where my staff are.

I'd be grateful for your suggestions.

This would need to be organised with your hosts - who I presume also provide you with POP3 mail accounts.

You can set up individual mail accounts with your host. You can also organise for a mail account to be forwarded onto another mail account (or more than one) if that's required. These accounts need to be set up at the host. Then locally on MS Outlook or similar, you need to create a mail account to receive the mail.

e.g. set up 2 mail boxes with your host - shop@... and office@.... Then on the PC in the shop, setup a mail account on MS Outlook for shop@... and on the PC in the office set up a mail account on MS Outlook for office@...

Have you been given control panel access to your hosting account? If so, you should find the options in there to create new mail boxes. Otherwise, you will need to ask your host. Also, depending on who the host is and what package you have bought, you may need to pay more for extra email accounts (sinful practice in my opinion).

try NOT to use such obvious names as "office", "support", "shop" etc.
these names are "standard names" used by spammers - they start off with obvious ones, then have to try to find the "not so obvious ones"

use slightly more obscure names such as "online.sales@" and so on,
make th spammer work for their living, don't make it easy for them

Are you running a server or just doing pop3? If the latter you need to set it up at the host end I think. If the former you can create separate boxes innit?

good point not so complete rookie

Luddite - do you mind us asking who is the host? One of us may have experience with them and perhaps be able to give guidance.

You should aim to get rid of the catchall in time - it will be picking up every single bit of spam aimed at your domain name.

With Outlook you can set up some good filtering via different mail boxes so you can keep all the different target emails into their own folders.

If you are running a server internally (such as Microsoft SBS) you can take things further and ensure when you hit reply it send back via the same email address and all other manner of funky stuff.

Even going from catchall@ to sales@ will drop your spam count immeasurably as a lot of spoofers will try using bob@, dave@, cathy@ etc using popular christian names.
