    Stocktake Adice

    I am about to do my first stocktake but the manual I have is very confusing and I dont want to make any mistakes, could anyone help unfuddle the process for me, bit dumb!

    Print your current theoretical stock.

    Count the physical stock and record that count on the same paper.

    If you are able to suspend business while you do the entire stocktake:
    Make a list of all the items where theoretical quantity is different from physical quantity and mark the difference as either plus x or minus x [where x is the difference in quantity - if you physically have more it is a plus, if you physically have less it is a minus].

    If you were not able to suspend business during the stocktake, take note of movements that happened after you printed the count but before you physically counted and recheck the figures.

    If your stock is itemised in your accounting package, do a general ledger entry that lists all the items with discrepancies and the discrepancy quantity - this should correct both the recorded quantity and value.

    If stock is not itemised in your accounting package, use a spreadsheet to calculate the difference in stock value [plus 3 green widgets at £0.66, minus 4 blue widgets at £0.54] sum the total difference in stock value and make a general ledger entry for the total monetary difference. Go to the place your stock is recorded and change the quantities to agree with the physical count.

    That's about the simplest I can make it. If you have several thousand items warehoused, then it does get more complicated. I always recommend bringing a third party in to do stockcheck in those circumstances, but I would - that used to be part of my profession.

      Stocktake Advice

      Thank you for your reply but I am still none the wiser, the manual I have is not up to date and so what I see on screen does not represent what I see in the manual. I dont want to change stock levels or do something that is irreversible. What I would like is for someone to guide me step by step. I have done stock takes before but not on this system.

      Can I suggest that the manual is written in a step by step way so that each task is explained so that one can work through each task in a methodical way!!!!!!!

        Sorry, I took your post literally. What you actually want is someone to guide you through posting the stocktake results into EPOS.

        Have you tried a phone call to support?

          Followed advice re stock but hit probs

          Hi I tried to print out a list of products so i could do the count but for some reason loads of the products were not on the printed list. I checked through, some were missing cost values but other items also missing cost values were included in the print.

          Also there appears to be no order to the manner things are printed.

          I requested stock by category I suspect this is where the prob lies as anything initally transferred from the existing website with more than a high level category does not appear on the list. Any ideas? Do i have to go through and change all the categories?

          also attached this to this post because my screen seems to have changed and I can't find where to post new threads!

            Hi Sally,

            You are having problems with stock not appearing in EPOS after it has been tranfered from e-commerce. this is a known bug in v8.5.1 where is doesnt transfer catagories properly, this bug has been fixed in v8.5.2 so i would suggest that you upgrade your software. this will solve your issue with printing out a stock lists and products being missing.

            To od a stock take please follow the instructions below.

            first you will need to decide on how you are going to count your stock. you could print out a list of all your products from the stocktake window by clicking on the report button and selecting all stock list current, you could do it from the reports section and select the product tab and choose the type of list you would like. you could just scan each product by using the quick scan window and enter the stock value.

            open the stock take menu and select "save stock levels" this will keep a record of your current stock levels on the system so you can run a comparison later. now select "reset levels" to zero the current levels, now select the quick scan button so you can start selecting products and entering how many you have in stock. scan a product, enter the product code or use the lookup function to select the product then enter the stock value you have counted for it then click save which will add it to the stocktake list, repeat this process for all your products. when you have finished click "save" which will save all the information you have entered to a txt document in C:\checkout\stocktake now click the "add stock" button which will update all your products stock levels. now you can click on the "report" button and select which report you want to print out.
