    Outstanding balance with Paypal

    We accept paypal and I did a refund for an item through paypal. The balance in Actinic V10.4 still shows a -£9.48 (the Progress & Payments tab in the order screen). I received a paypal payment of £9.48 and have refunded £9.48 in Actinic. I un-shipped and then cancelled the item making sure even postage was refunded so it should be technically a zero outstanding balance. AS far as I know there isn't anything I can d within Actinic that links to the paypal transactions (seems like you just receive notice payment received and assumes it has been for the full balance).

    I have manually refunded the money in paypal but I wonder what the effect of this is on reports? How do I make it or confirm that it is a wash?

    I might be missing something but can't you just do a "create payment" in the payments tab and add it as a refund?
    (can't vouch for your reports though. Actinic isn't too good at including refunds IME)

      Because it is Paypal, I think, there are not any buttons that are usable - they are all greyed out.

        if you 'view payments' for the order you should be able to see the individual payments and refunds. What's listed there.

          The buttons are greyed out there also but I see I can select [New Entry]. I don't see Paypal as an option under the Transaction drop down but there is a credit card credit option. If I select this will this be the same as Actinic payments or is it just a reference? If just a reference I can process it 'like' it was paypal as that is where credit is located.

            it all sounds a bit odd to me.

            Have you got paypal setup as a payment option in Actinic? And how did you you enter the refund if Actinic doesn't offer paypal as an option?

              I do have paypal as an option. When someone pays by this method, I get an additional email from paypal saying they have paid by paypal. To do a refund I actually login into Paypal via their website, find the payment received and then process a refund in paypal manually. It is odd to me as well as I cannot believe I need to do this manually - it accepts it one way, it should send something back (imo).

                Only Actinic Payments is fully integrated with the Actinic software in that way and I believe that to be the only integration of its kind of any note in the industry. So what you are expecting is way above what is offered as standard on almost every payment method there is out there.

                Your online website accepted the payment, you are trying to use your offline desktop machine to refund it, that's not as simple as it sounds and involves a lot of coding to achieve.

                  Thanks Lee; I can accept what it is. Still think as it is the major payment method - I think ebay and how often we get it as a payment method - it should be something actinic considers for the future.

                    You do the refund via paypal, then on the order go to Progress and Payments, View Payments (immediately above the Actinic Payments section), New Entry. This will create a refund for the outstanding amount. Set it to credit/debit card (there is no paypal option here for me either) and then put "via paypal" in the comments box. It really doesn't matter what you put there, of course, because you're just trying to balance the books.

                      Meant to reply that this did the trick. Keeps the books balanced as it no longer shows an outstanding amount due to the customer. Thanks.
