actininc link > quickbooks calling experts

    Dear All

We've seem to be generating *.iif files for quickbooks correctly in that when i view a test exported order the iif file in notepad it contained the order lines/customer info etc.

In quickbooks - Internet shopper was created as a customer. However no details have been passed through - customer name, address etc or what was ordered itself. Am I right to expect these details? Any ideas what I may have done wrong?

Secondly, and what should I expect to see when i export multiple orders from multiple customers - multiple Internet shoppers?

What is the most effective way to store web customer details in quickbooks?

    Regards
    Peter

    Hi Peter,

What version of Quickbooks and Actinic are you using (US/UK).

Checking the help file of the UK Build, it says

Orders from known (registered) customers in Actinic will be assigned to the corresponding customer record in QuickBooks. Orders from retail (unregistered) customers will be assigned to the generic 'Internet Shopper' customer record in QuickBooks.

If there is a discrepancy between the value in the 'External Reference' field in Actinic for a known customer, and the value in the 'Customer' field for that customer in QuickBooks, then a new customer will be created in QuickBooks with an incorrect name.

In order to correct this, you will need to locate the incorrect customer name, re-assign the transaction to the correct QuickBooks customer (using the 'Customer:Job' drop-down list), and then correct the 'External Reference' field for that customer in Actinic. You can then delete the incorrect name from the customer list.
This is found in "Actinic Link for Quickbook Help Guide" under "Transferring orders into Quickbook | Importing Orders into QuickBooks"

      Thanks Nadeem

Yep I've read and re-read those paragraphs over the last 24 hours hoping that somehow quickbooks might do what I wanted - but alas.....

An update. We've solved the problem outlined above - essentially the info was coming in all along - we just didn't know where to look. A customer sales receipt is created for each order and assigned to the default Customer - (in our case Internet shopper).

But this won't do I'm afraid - we need a new quickbooks customer to be created for each new Actinic unregistered customer that we import.

And so we are looking at either
      1. Migrating to Sage Line 50 where you can do this (shame on you quickbooks UK)
      2. Finding a scriptwhizz that can convert our Actininc CSV or Link IIF files into something quickbooks will import and create new customers with.

Anybody out there have any ideas - want to put themselves forward please step on up.

        Hi Peter

I'm afraid this can only be done in like you said Sage Line 50 and QuickBook US version.
But if someone has found a way, please feel free to comment to this thread.

Excuse me if I'm being totally bonkers (we're looking into Act link as well) - we won't be using quickbooks sales receipts so the fact that they remain "unamed" should not be an issue - but does quickbooks then create reams and reams of individual customers in your customer list all called "internet shopper?".

Or when you look at "internet customer" will it list individual "sales" within that record?

We're processing tens of thousands of individual sales per year - each sale is made up of loads of individual items with a mixture of values - if every sale causes a new "internet shopper" record to be set up, it'll be swamped within months!

          TIA - Helen

            Hi Helen

As I recall all orders, no matter from whom, were placed under a 'single' customer, named Internet Shopper.

Presumably for retail sites, people can still buy even if they're not registered or logged in?

We "might" want to use the customer login to be able to target specific customers with special offers or prices, but don't want to lose sales to customers who do not wish to register.

I know on my supplier's sites I must log in to be able to view prices and buy, but if a retail site requires me to register before I can buy I usually go away!

Please tell me that it is not a requirement for a customer to have registered to be able to buy

              TIA - Helen
