    Order Processing - what do you do?

    Well, we launched our online shop on Saturday, and today downloaded and processed our first REAL order!! (jumps up and down, claps paws, squeals with glee...)

    However the whole order processing process seems very long winded - if I was working full-time at the shop then I could get my head round it, but I'm only there part-time, and the only other person with password access to the laptop (ie The Boss) is not very computer-savvy...

    If I 'Bypass Catalog Order Processing' can I still print out invoices and Data Entry Reports including the credit card details for each of my orders?

    What is the best way to start - what do YOU guys do - the seemingly simple way or the hard way? Enquiring minds want to know! If I start with one system and change to the other - will it have a knock-on effect in the future?

    And whilst we're on the subject - how long do you keep completed orders on the system for?

    Hi Suzie,

    Actinic's in-built order processing system is a collection of features, reports and processes that will help you deal with the orders from your store. Unchecking "Bypass Catalog Order Processing", will stop Actinic from trying to process the order. All you need to do with orders in Actinic is retrieve the latest orders and then either print a data-entry report or go to 'Reports|Outstanding Exports'. The order will be then marked as completed.

    You can create a snapshot or take a backup of the database and import that if you choose to work on a different machine.

        I download the order(s) and run through my fraud checklist.

        Print a packing list to pick stock with, and attach the address portion of this to the picked item(s).

        Then click the picked item(s) as shipped in Actinic and reprint packing list, print invoice.

        Pack the picked goods with the packing list and invoice attached and take them to the courier.

        Send the mail to the customer with their tracking number, reprint the invoice to pdf. Finished.

          Our orders are collected automatically from the website by our One Stop Automation program, this program also reformats addresses, if the product has been paid for, the goods are autoshipped, the packing list is printed and the invoice is printed (onto our integrated label paper - so we now have a label for the invoice letter as well).

          For software, orders are processed by a bespoke system and licenses and invoices are dispatched by email, a paper copy of the invoice is also sent to the purchaser.

          For paper, order processing is completed with our One Stop Order Processing software, we do two things, firstly click on a button to produce the city link parcel labels and secondly click on another button to send 'order shipped' emails to each of the customers, the email contains order tracking links. The boxes are then labelled and the invoices are sent separately to the purchaser. Finally, we use Actinic to generate customers for new customers and then use One Stop Order Processing to send an welcome email out with their username and password (another single click operation for all new customers).
